Operations Manager

Kundra & Associates seeks a well-rounded and sophisticated office manager. This person works directly with the managing partner to oversee a variety of office functions and executive activities. Consummate professional, extremely organized, proficient with numbers, and experienced with managing staff, this person will be responsible for:

Office Management

- Perform supervisory responsibilities in accordance with the current Firm's policies and applicable laws.

- Communicate with managers, co-workers, current and potential clients, vendors and others, maintain confidentiality and represent the Firm with unwavering professionalism.

- Compose, prepare and process legal, general and confidential correspondence, including e-mail and faxes, while maintaining uniform procedures and style practices for correspondence, reports and other office documents.

- Coordinate and facilitate marketing plans, efforts and goals.

- Report directly to Firm Partner and provide partner with daily list of accomplishments.

- Remain available for work every other weekend.

Human Resources Management

- Onboard new employees; establish, update and maintain retention programs for current employees.

- Respond to questions regarding overall departmental, bureau or office policies, procedures and practices.

- Analyze and organize office operations and procedures such as, but not limited to, budget, personnel, records management, supplies and equipment.

Financial Management

- Process daily banking activities with strict attention to detail.

- Manage and process accounts receivables and accounts payable; liaise with clients and vendors to ensure timely financial results.

- Develop office administration operating budget and initiate cost reduction programs.

- Process payroll and all associated payroll liabilities.

Facilities Management

- Coordinate facilities maintenance.

- Coordinate IT functions with third-party IT support.

Administrative and Legal Support

- Provide administrative support for the Firm.

- Coordinate and maintain retainer agreements; follow-up with current and potential clients.

- Conduct research and prepare reports.

- Manage calendar, coordinate schedules and independently make appointments for multiple attorneys and legal staff.

- Coordinate meetings, programs, or events by securing location and making other appropriate arrangements, preparing and issuing information and agendas, coordinating speakers and processing minutes or other necessary follow through information.

- Arrange detailed travel plans and itineraries, compiling relevant documents.

- Keep abreast with contacts, newsletters and marketing issues.

REQUIRED EDUCATION AND EXPERIENCE

· BA in Business Management, MBA and/or Masters in Law Firm Management preferred.

· Nine years legal, administrative and budget experience; six years office management experience, and five years supervisory experience.

· Proven track record of successfully managing the administrative functions of a busy law office.

· Human resources certifications ideal.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

· Read and interpret personnel information, policies, procedures, and legal documents.

· Write reports, correspondence and procedure manuals.

· Calculate figures and amounts such as discounts, interest, percentages and payroll taxes.

· Use computer software programs and/or other applications.
